Job Title:                     Staff Assistant, Part Time

SUMMARY

Problem-Based Learning (PBL) is a self-directed learning methodology and curricular track where medical students learn the foundations of science knowledge within the context of clinical cases during the first two years of medical school.  This opportunity will help to support the PBL curriculum administration, while providing strong customer service to medical students as they navigate a complex curriculum.  Under the direction of the Director of Problem-Based Learning, the Staff Assistant supports faculty and students in the teaching and evaluation of student performance; creates, coordinates and disseminates relevant information and class schedules for students, faculty and staff; serves as a resource for student directed learning issues. 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Understand and adhere to Rowan-Virtua SOM compliance standards as they appear in corporate Compliance Policy, Code of Conduct, and Conflict of Interest Policy. 
  • Expedites and coordinates services such as PBL room maintenance, cleaning, and repairs. 
  • Performs inventory control and ordering office and classroom supplies for PBL program. 
  • Assists students and faculty session coordination during Monday, Wednesday, and Friday morning PBL-1 and PBL-2 classes. 
  • Monitor and track PBL classroom technology.  Contact vendor and coordinate repairs when needed.  Assist with the set-up of supplies and technology for Osteopathic Clinical Skills labs. 
  • Proctor examinations when needed. 
  • Maintains updated spreadsheet for faculty and/or student absences in conjunction with the Associate Director for PBL and other Academic Affairs staff. 
  • Completes preparation for blocks including assembling and copying content for facilitator binders, communicating with facilitators, updating information on the PBL common google drive, classroom preparations. 
  • Summarizes minutes of PBL facilitator block meetings and disseminates to appropriate faculty and staff.  
  • Supports PBL department with coordinating meetings, room reservations, and travel arrangements. 
  • Helps support students and faculty in the DxR Platform including entering corrections as approved by the block directors. 
  • Provides cross coverage for other members of the administrative team as needed.  
  • Performs other related duties as assigned. 

QUALIFICATIONS:   

To perform this job successfully, an individual must have excellent organizational skills, take initiative to maintain and make recommendations to the Director of PBL regarding processes; have proven ability to work cooperatively with faculty, students and staff; be customer service focused; and be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skills and/or ability required.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. 

EDUCATION and/or EXPERIENCE

Bachelor’s Degree in Business Administration, Social Sciences, or a related discipline, plus one (1) year of related experience in a business office, government agency or a university setting required.  Applicants lacking the degree may substitute appropriate related experience on a year-to-year basis. 

All applicants must be MS Office literate including proficiency in MS Word, Excel, PowerPoint and Outlook.  Familiarity with Canvas and One45 preferred.

Ability to recognize and manage one’s behaviors and communication to create an inclusive, equitable, and welcoming environment within the department/organization. 

This is a Part-Time, Regular position working 20 hours a week.
