Job Title:          Operations Coordinator                  

Department:    SOM - Simulation Center (Academic Affairs)

Reports to:       Assistant Dean for Simulation

 

Summary

Manages day-to-day operations of the Simulation Center. Maintains the calendar for simulation/SP events, trainings, and testing and provides scheduling support for students with accommodations and remediation/coaching needs. Ensures appropriate resources are available to meet programming needs including staffing/faculty, space, technology and other related resources. Assists with tracking Simulation Center budget expenditures and manages purchasing and travel functions. Responsible for on-boarding and maintaining records for the standardized patient (SP) per diem employee pool. Reports to the Assistant Dean for Simulation and works close with the Director of Programming and all academic and administrative units in fulfillment of the duties.

Essential Duties and Responsibilities

  • Provides operational support for educational programs offered by the Simulation Center. Includes:
    • Develop and maintain the program calendar for present and future academic years. 
    • Manage space requests within the Simulation Center.
    • Identify faculty/staffing and equipment needs related to programs. 
  • Supports maintenance of a robust pool of per diem SP employees.  Includes:
    • Assist hiring/on-boarding processes per university protocol.
    • Keep time records and execute payment for hours-worked.
    • Manage database of active SPs.
    • Evaluation of per diem employees.
  • Assists administrative needs of courses delivered by Simulation Center faculty. Includes:
    • Maintain student rosters and schedules.
    • Schedule Simulation Center faculty.
    • Release assignments/grades.
  • Supports students requiring clinical skills coaching/remediation. Includes:
    • Schedule student meetings with Simulation Center faculty.
    • Track student interventions and outcomes. 
  • Manage expenses within the Simulation Center.  Includes:
    • Oversee purchase of items for use within the center.
    • Maintain inventory of assets (i.e., durable medical equipment, nondurable medical supplies, educational models, etc.)
    • Monitor budget and assist with forecasting of future budgetary needs.
    • Manage contracts, maintenance agreements, and equipment warranties.
  • Maintains record of students requiring testing accommodations and advises Simulation Center team accordingly.
  • Assists with projects involving collecting, sorting, analyzing and presenting data to further Simulation Center, division and school initiatives in education, training, continuous quality improvement and research.
  • Attends departmental and committee meetings as requested.
  • Attends continuing education programs or other trainings for professional development as required by the Simulation Center or university.
  • Performs other duties as assigned.

Required Education, Knowledge, Skills and Experience

  • Bachelor’s degree required.
  • Two years of experience working in a role with managerial duties required.
  • Two years of experience working in a standardized patient facility/simulation center in a higher education setting highly preferred.
  • Demonstrated ability to effectively oversee projects toward meeting organizational vision/goals and stakeholder expectations, build strong partnerships with stakeholders, make high quality decisions and manage human, financial and educational resources strategically.
  • Proficiency in Microsoft Word, Outlook, Excel and PowerPoint; experience with the use of computer equipment and devices.
  • High-level verbal communication skills.
  • Ability to prioritize, multitask, meet deadlines, solve problems and work independently.
  • Ability to direct the activities of, and speak with confidence in front of, groups of students, faculty and other staff.
  • Ability to work a flexible schedule, including evening or weekend hours as needed.

Physical demands:

*Movement of furnishings, props, computers, medical equipment and educational equipment within the facility.
